This policy describes what MyColivingPM collects when you request a quote, email us, or use the owner portal — and how we handle it. Plain English, no dark patterns, no selling your data.

1. Who we are

MyColivingPM LLC ("MyColivingPM", "we", "us", "our") is a co-living property management company based in Baltimore, Maryland. This Privacy Policy explains what information we collect through mycolivingpm.com, the MyColivingPM owner portal, and related email communications (collectively, the "Services"), how we use it, and the choices you have.

By using the Services or submitting information through our lead form, you agree to this Privacy Policy. If you do not agree, please do not use the Services.

2. Information we collect

a. Information you submit through the lead form

When you complete our multi-step "Get your custom quote" form or any other contact form on the site, we collect the information you provide, which typically includes:

  • Your name
  • Phone number and email address
  • Property address, neighbourhood, and number of bedrooms
  • Property condition, ownership status, and timeline
  • Which services you're interested in (setup, PadSplit launch, management, cleaning, add-ons)
  • Optional notes or context you choose to share

b. Owner portal account information

If MyColivingPM creates an owner account for you, we collect the email address and password you use to sign in, your assigned role (owner or admin), and information tied to properties we manage on your behalf — for example property addresses, monthly performance reports, and documents you or we upload to the portal.

c. Email and communications

When you email us, respond to our automated emails, or reply to follow-ups from our team, we retain those messages and any attachments so we can respond and keep a record of the conversation. Automated emails may include quote confirmations, onboarding steps, monthly report notifications, and account notifications.

d. Information collected automatically

When you visit the site, our hosting and backend infrastructure automatically receives standard technical information such as your IP address, browser type, device type, referring URL, pages viewed, and timestamps. We use this information for security, debugging, and basic usage analytics. We do not use third-party advertising trackers.

e. Cookies and local storage

We use a small number of strictly necessary cookies and browser local storage entries to keep you signed in to the owner portal and to remember your session. We do not use cookies for advertising or cross-site tracking.

3. How we use your information

We use the information described above to:

  • Respond to your quote request and prepare a proposal for your property
  • Contact you by phone, text, or email about your inquiry and next steps
  • Provide, operate, and improve our property management services
  • Send transactional and service emails (quote confirmations, onboarding, monthly reports, account notifications)
  • Authenticate you and secure your owner portal account
  • Generate and share monthly performance reports and documents with the correct property owner
  • Maintain internal records, prevent fraud and abuse, and comply with legal obligations

We do not sell your personal information, and we do not share it with third parties for their own advertising or marketing.

4. How we share information

We share your information only with the limited categories of recipients needed to run our business:

  • Service providers who host our website, database, and email infrastructure on our behalf under confidentiality obligations
  • Co-living platforms (such as PadSplit) when you have engaged us to launch or manage listings for your property
  • Contractors, cleaners, and maintenance vendors, limited to the property information they need to complete work you have authorized
  • Professional advisors (legal, accounting, insurance) when reasonably necessary
  • Government authorities or other parties when required by law, subpoena, or to protect the rights, property, or safety of MyColivingPM, our clients, or the public

If MyColivingPM is involved in a merger, acquisition, or sale of assets, information about you may be transferred as part of that transaction, subject to this Privacy Policy.

5. Data retention

We keep lead form submissions and related communications for as long as we're actively engaged with you and for a reasonable period afterward for record-keeping, tax, and legal purposes. Owner portal accounts, property data, and monthly reports are retained for the duration of our management relationship and for a period afterward as required by applicable law and our internal record-keeping policies. You can ask us to delete your data at any time (see "Your choices and rights" below).

6. Security

We take reasonable administrative, technical, and physical measures to protect your information. The owner portal uses authenticated sessions and role-based access controls so that owners can only see data for properties assigned to them, and admin functions are restricted to authorized MyColivingPM staff. Data is transmitted over encrypted HTTPS connections. No system is 100% secure, and we cannot guarantee absolute security.

7. Your choices and rights

  • Access & correction — you can ask us for a copy of the personal information we hold about you and ask us to correct anything inaccurate.
  • Deletion — you can ask us to delete your lead submission, owner account, or other personal information, subject to legal and record-keeping obligations.
  • Email opt-out — you can unsubscribe from marketing emails at any time using the link in the email or by replying to ask us to stop. Transactional messages (quote responses, monthly reports, account and security notices) will continue while you have an active relationship with us.
  • Do Not Call — you can ask us not to call or text you at any time.

To exercise any of these rights, email us at info@mycolivingpm.com from the address associated with your request. We may need to verify your identity before acting.

8. Children

The Services are intended for property owners and investors and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

9. Third-party links

Our site and emails may contain links to third-party websites (for example, PadSplit or partner service providers). We are not responsible for the privacy practices of those sites. Review their privacy policies before providing information.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we'll update the "Last updated" date at the top of this page. Material changes will be communicated by email to active owners or by a notice on the site. Continued use of the Services after changes take effect means you accept the updated policy.
